A reimbursement packet is not a social post, but it is still a share. Bookkeepers, managers, auditors, and sometimes outside accountants see the same JPEG. Those extras do not help anyone approve a $42 client lunch, and they do sit in email for years.

What to redact on an expense-report receipt photo — and why
Card numbers, including 'ending in' lines and any barcode that repeats the PAN. Finance already has the card last-four from the corporate statement if they need it.
Personal delivery or billing addresses printed because you used a delivery app. Your employer needs the restaurant name, not your apartment number.
Loyalty, member, and gift-card numbers. They are not proof of the business purpose.
Non-reimbursable line items on a mixed ticket (personal groceries added to a work run). Cover those lines; leave the work items and the total strategy your policy requires.
Signatures and tip-line handwriting if they include extra phone numbers or a full name you do not want in a shared drive.
QR codes for surveys or digital receipts that open an order page still tied to your account.
How to use the tool
- Photograph the receipt flat, full slip in frame, before it fades. Thermal print fades; an early photo is the record.

Realistic scenarios
Scenario A — Client dinner: An employee hides the personal card number and a second drink they will not expense, leaving restaurant, date, and food total for the report.
Scenario B — Rideshare screenshot printed at a hotel: The printout includes home address as the drop-off. They black-box the street and keep date, fare, and city.
Scenario C — Team lunch on one ticket: The organizer covers the payer's full PAN and each person's personal orders that will not be submitted, then shares the redacted photo in the expense thread.
Scenario D — Auditor sample: A contractor sends receipts to an outside bookkeeper. Card barcodes and home addresses are covered; merchant and amounts stay visible.
Common mistakes
Blacking out the total because it includes a personal item. Auditors need a readable amount. Cover the extra line and explain the delta in the report, or get a split tender next time.
Leaving a barcode under the total. Many POS barcodes still encode the ticket. Cover codes as well as digits.
Sending the original 'because finance is internal.' Internal archives leak in phishing and in offboarding. Minimum necessary still applies.
Cropping so hard the merchant name disappears. A reimbursement photo that cannot identify the vendor fails the report. Redact extras; keep the audit fields.
